Job Title:                                              Deputy Registrar

Reports To:                                          The Registrar/Deputy Vice-Chancellor

Eligibility criteria

Qualification and Experience:     A Master ‘s degree in Education Administration or a related discipline from a recognized University plus Seven years post qualification administrative experience as a senior staff in a tertiary institution or 4 years working experience at the level of  Senior Assistant Registrar

Main Purpose of Job: Head of the Campus Registry/Deputy at the University Registry.  He/She is the custodian of all regulations of the University and should provide support to the Registrar and the Deputy Vice-Chancellor

Advise and support the Deputy Vice-Chancellor/Registrar in the day to day administration of the College/Registry

Key duties include but not limited to the following

  • Secretary to Committees of the University/College
  • Supervision of the Units responsible for students welfare, admission, registration, conduct of examination, human resources management, logistics management and management of the assets of  the college/University
  • Assists the Deputy Vice-Chancellor/Registrar in the handling of matters of a department/unit of the college/registry not specifically mentioned above
  • Provides support to faculty and administrative staff in their duties
  • Be in attendance at the University meetings where the attendance of the Deputy Registrar is required
  • Liaise with the Registrar of the University with respect to ensuring that the University’s rules and regulations are adhered to by all staff at the college
  • Prepares job description for other staff in consultation with the Deputy Vice-Chancellor/Registrar
  • Any other duties as may be assigned by the Deputy Vice-Chancellor/Registrar

  • Must be knowledgeable in computer software packages at least in Microsoft Word, Excel and PowerPoint
  • Must be able to take timely and informed decisions
  • Must demonstrate good leadership skills and excellent work ethics

Status/Grade:                                      Senior Staff

Reports To:                                          The Finance Director/Deputy Vice-Chancellor& Principal

Eligibility criteria

Qualification and Experience:     Must possess recognized professional qualification e.g. ACCA, with at least (7) years post qualification experience as a senior staff in a tertiary institution or 4 years working experience at the level of  Assistant Finance Officer I

                                                                                           Or

A Master’s Degree in accounting and finance or related discipline with at least (7) years post qualification experience as a senior staff in a tertiary institution or 4 years working experience at the level of  Assistant Finance Officer I

Key duties include but not limited to the following

  • Preparation and modification of the annual budget of the campus/Secretariat in accordance with guidelines provided by the University Finance Directorate
  • Administration and implementation of operational strategies
  • Production of monthly reconciliation statement and management accounts
  • Ensuring that financial and other reporting systems are maintained to the standards required by the Auditor’s office and Ministry of Finance and Economic Development
  • Assists with the preparation and coordination of the audit process
  • Maintain the financial system, fixed assets and depreciation records
  • Management of payroll for all staff
  • Implementation and maintaining internal financial controls and procedures as stipulated in the University accounting manual
  • Maintains up to date accounting records and ledgers and record all financial transactions for all activities
  • Any other duties delegated by the Finance Director/Deputy Vice-Chancellor of the campus

Skills required

  • Ability to work within stiff deadlines
  • Must be knowledgeable in computer software packages at least in Microsoft Word, Excel and PowerPoint
  • Knowledge of SAGE Accounting systems
